How Seed Legal Assist collects, uses, stores and discloses personal information in Australia and New Zealand.
01Who this policy covers
Seed Legal Assist is a business of Seed Marketing Group Limited, NZBN 9429047483255, a company incorporated in New Zealand (“we”, “us”). We provide administrative and paralegal support to law firms. We do not provide legal advice and we do not act for our clients’ clients.
This policy is written to meet the Australian Privacy Principles under the Privacy Act 1988 (Cth) and the Information Privacy Principles under the New Zealand Privacy Act 2020. Where the two differ, we apply the stricter standard.
02Information we collect
From firms and people who contact us, we collect the information you give us directly: name, firm, email address, telephone number, and whatever you choose to tell us about your practice in an enquiry.
In the course of providing services to a law firm, we necessarily handle personal information about that firm’s clients and matters. We handle that information solely on the instructions of the instructing firm, as its service provider. The firm remains responsible for that information under its own privacy obligations, and this policy does not displace the firm’s own policy.
Our website collects standard technical information such as pages requested and approximate location. We use it to keep the site working, to understand traffic, and to measure the advertising that brings people here. Two Google products do this: Google Analytics 4, measurement ID G-ESQ9E9RP3N, and Google Ads, tag AW-18419805499. Between them they set three cookies in your browser — _ga and _ga_ESQ9E9RP3N for analytics, and _gcl_au for advertising measurement.
If you reach us from a Google ad, that click is recorded, and we are told when a visit that began with an ad leads to an enquiry form being sent or one of our numbers being called. We receive that as a count, not as your name. Personalised advertising is switched on in our Google Ads account, which means Google may also use this information to show you our advertising elsewhere. Google handles all of it as an independent party on its own terms and on servers outside Australia and New Zealand; what Google does with it is governed by its privacy policy at policies.google.com/privacy.
We do not sell this information and we do not pass it to anyone other than Google for the purposes above.
03How we use it
To respond to your enquiry, to provide the services a firm engages us for, to invoice, and to meet our legal and professional obligations. We do not sell personal information and we do not use enquiry details for unrelated marketing.
04Who we disclose it to
To our own staff who need it to do the work, and to the service providers that run our systems. For this website those are Google (analytics and advertising measurement), our website host, and the system that receives enquiry form submissions. Some of those providers hold information outside Australia and New Zealand; Google is one. If you want the current detail for a particular provider, ask us on the number for your country and we will tell you.
We disclose information where required by law, or where a court, tribunal or regulator compels it.
05Where it is stored, and for how long
An enquiry you send through this website is held in the system that runs our forms and emailed to our team. We keep it only as long as we need it for the purpose it was collected and for any period the law requires, then destroy or de-identify it.
Information we handle for a law firm as its service provider is kept according to that firm’s own retention rules, not ours. If you want the retention position for a particular kind of information, ask us on the number for your country.
06Keeping it safe
We use access controls, encryption in transit, and staff confidentiality obligations.
If a data breach occurs that is likely to cause serious harm, we will notify affected people and the relevant regulator, as required by the Australian Notifiable Data Breaches scheme and the New Zealand notifiable privacy breach regime.
07Your rights
You can ask us what personal information we hold about you, ask us to correct it, and complain if you think we have mishandled it. Call us on 02 9071 7708 in Australia or 03 244 0226 in New Zealand and ask for whoever handles privacy. We will respond within the time the applicable Act allows.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au) or the New Zealand Office of the Privacy Commissioner (privacy.org.nz).
08Changes
If we change this policy we will publish the updated version here with a new date.
